Automated Lead Follow-Up

Somebody fills in your form at twenty to nine on a Tuesday night. The first text goes out about a minute later, and the whole sequence stops the second they reply.

23%

In an audit of 2,241 US companies, 23% never responded to a web-generated lead at all, and the average response time among those that did respond within 30 days was 42 hours.

59%

59% of homeowners expect text updates during a job.

83%

83% of US consumers say they choose the business that responds first to an inquiry.

Why it is worth having

A Lead Goes Cold While You Are Still On The Job

Somebody filling in your form at nine at night is still holding their phone, still comparing, probably filling in other people's forms too. What happens next decides whether you're in the running.

What you actually get

The First Text Goes Out While They Are Still On Their Phone

Right now that form is an email you read at seven the next morning. You call, it goes to voicemail, and by Friday it's gone. Nobody decided against you. They heard back from somebody else first.

With this running, a text goes out about a minute later from your business number, naming the job they asked about and telling them a real person has it. More go out if nothing comes back.

"Hi Dave, this is Mike at Coleman Roofing. Just got your message about the leak over the garage. I can call you in ten minutes." You approve the wording before launch.

Why it works

Speed Is The Part You Can Still Control Tonight

Harvard Business Review audited 2,241 companies and found 23% never responded to a web lead at all. Among those that did answer inside a month, the average took 42 hours.

The same study found firms that reached a lead inside an hour were far likelier to qualify it. It's fifteen years old and wasn't run on home services, so read it as a direction.

Moneypenny's research found 83% of US consumers say they choose the business that responds first. That's what people say they do, and it's the plainest reason to answer fast.

How long until it works

Running From The First Lead After Launch

It starts the day the site goes live, fifteen business days from when your content reaches us. The first lead that afternoon gets the same treatment as the thousandth.

The one piece with a real lead time is the registration United States carriers require before a business can send automated texts. We file it during the build.

What it costs you

Nothing To Remember And Nothing To Switch Off

You don't build the sequence and you don't tag anybody. The worry here is the opposite of forgetting. It's a text going to somebody who already answered, and reading as pushy.

A reply cancels the rest of the sequence straight away. One gap. A call back can't be seen, so if somebody rings you instead, close that conversation in the inbox yourself.

Worth knowing

What This Does Not Do

A reply stops it. A phone call does not. If somebody rings you instead of texting back, close that conversation in the inbox or the next message can still go out.

It follows up. It doesn't sell for you. The texts open the conversation and get you a reply. Winning the job is still the call you make and the price you quote.

It only runs on leads the system can see. Forms on your website, the chat widget, missed calls and messages in the shared inbox. A name jotted on a job sheet won't be.

Frequently Asked Questions

What is automated lead follow-up?
It's a short series of text messages sent to somebody who has just contacted your business. The first goes out about a minute after the lead arrives, whether that's a website form, the chat widget or a missed call. More follow if nothing comes back, and a reply cancels the rest.
Does it stop if the customer replies?
Yes, straight away. A reply on that thread ends the sequence and nothing further is sent to that person. Two things worth knowing. A phone call back doesn't stop it, so close the conversation in your inbox if they ring instead, and the sequence ends by itself either way.
Is this the same as missed call text back?
No, though they work together and both are included. Missed call text back is triggered by one thing, an unanswered call, and sends one message within seconds. Lead follow-up covers everything else that arrives, mostly website forms and chat, and it keeps going for a while instead of stopping at one message.
How many follow-up texts are there and what do they actually say?
A handful, and they stop as soon as somebody replies. Each is a short message from your business number that mentions the job they asked about and offers a time to talk. We draft them for your trade and you see the wording before launch, and we set the timing with you on the onboarding call.
Do I need a CRM, and does this connect to Jobber, Housecall Pro or ServiceTitan?
No CRM needed, because the contact, the thread and the sequence all sit in the system we build you. It doesn't talk to your job software. There's no connection to Jobber, Housecall Pro or ServiceTitan, nothing syncs either direction, and a lead that turns into a job still gets entered where you schedule and invoice. Qualifying stays with you too.
